Preparing your team for a private certification session

A practical checklist for headcount, materials, scheduling, technology, accommodations, and exam-day readiness.

Define the outcome first

A private session can include manager instruction with an exam, exam-only proctoring for prepared candidates, food-handler access, or a combination. Confirm the desired outcome before choosing a date so the agenda, materials, and technology match the service.

Also determine whether every participant needs the same option. Some managers may need the full course, while an experienced candidate may only need a proctored examination.

Confirm the participant list

Create a final roster with each participant’s legal name, email, phone number, selected service, language needs, and any approved accommodations or support requests.

Set an internal registration deadline. Late additions can affect materials, exam accounts, seating, devices, and the session timeline.

  • Verify spelling and contact information.
  • Separate course-and-exam candidates from exam-only candidates.
  • Identify food-handler language selections.
  • Confirm who needs a laptop.

Choose a workable room

The training space should support both instruction and secure testing. Plan for comfortable seating, writing space, electrical access, reliable internet where an online exam is used, reasonable temperature, and limited interruptions.

Exam rules may require additional controls. The proctor must be able to maintain the required testing environment, observe candidates, and address technology problems without compromising exam security.

Protect preparation time

Distribute advance materials when they are provided and give candidates realistic study time. Encourage them to complete diagnostic work, note unfamiliar topics, and arrive prepared to ask specific questions.

Avoid scheduling a manager to work a closing shift immediately before an early course and exam. Fatigue works against learning, recall, and careful test performance.

Plan technology before session day

Confirm each device, charger, browser requirement, internet connection, and login process in advance. If candidates are bringing their own laptops, communicate compatibility expectations early.

Send one final confirmation

A private session runs best when the organization and instructor are solving the same logistical plan before participants arrive.
